The successful candidate will demonstrate a high level of administrative expertise, attention to detail, and work-product accuracy; while accomplishing multiple projects simultaneously -- often with rapidly shifting priorities, under tight deadlines. Primary duties: Administrative support to Law Department attorney-executives and business manager, with successful coordination of back-up coverage when needed. Calendar/schedule management for multiple executives, using advanced expertise with Outlook Calendar and other resources; anticipate information and data needed for appointments, meetings, and business travel anticipating and proactively resolving conflicts; planning and implementing logistics for executive-level in-person meetings, tele- and/or videoconferences, and WebEx meetings; expert presentation development using tools such as PowerPoint, Word, and Excel; responsibility for planning and executing business travel using Boei! ng policies and tools to ensure travel efficiency; generating ! expense reports and reconciling corporate credit card charges to ensure timely and accurate payments and reimbursements; review, assessment, prioritization, and organization of communications such as incoming calls, messages, and correspondence; communicating and interfacing directly with internal and external clients/customers through both written and verbal correspondence; maintaining legal management systems and document databases; supporting document retention activities. This position serves as the information technology focal for the St. Louis Law group. The successful candidate will demonstrate a high degree of technological proficiency -- experience with and knowledge of current Microsoft applications, facility in troubleshooting routine PC and laptop issues, etc. Representative tasks include routine research, generating/reviewing routine reports, preparing legal correspondence and presentations, and maintaining various Law Department systems; keeping inventory of a! nd ordering computing equipment and peripherals, mobile phones, etc; assisting new employees with computer set-up and account access; troubleshooting routine computing issues for the St. Louis Law site. This position requires the ability to assess the urgency of situations and determine appropriate actions, monitor status of pending actions, provide follow-up, and keep the attorney(s) and others informed by communicating a wide variety of information. The ability to successfully build and maintain positive customer relationships is key. The candidate must be a self-starter who can effectively manage his/her time and tasks under limited supervision. Requirement/ability to protect confidential, proprietary, and/or classified information is absolute. A positive, constructive, team-focused attitude is required; as are excellent written and oral communication skills and outstanding organizational skills. Proficiency in Microsoft Office 2007 products (Word, Excel, PowerPoint, and! Outlook) and Adobe Professional is necessary. Experience in Windows 7 ! is a plus. Must be willing to learn Boeing-specific software. Understanding office workflow and applicable company policies and procedures will be necessary.
