The Administrative Assistant I shall be responsible for registering patients, scheduling appointments and procedures, updating pa! tient and insurance information, collecting co-pays/payments and other assigned duties as needed.
Essential Duties and Responsibilities
The following duties are specifically assigned to the Administrative Assistant I:
Job requires understanding of specific needs of customers and patients
Must understand NextGen EPM/EMR/ICS
Answers multiple phone lines and takes messages. Notes in EMR any patient calls and tasks appropriate person for follow-up
Distributes faxes throughout the day
Completes clinic prep for the providers
Picks up mail and distributes to providers and office manager
Schedules appointments and procedures for the clinic
Registers patients for clinic visits
Completes prior authorizations and/or pre-certifications for patients
Calls patients two days prior to clinic visits to confirm appointments
Orders office and medical supplies
Scans doc! uments into ICS and indexes documents to correct patient, enco! unter and document type
Must have working knowledge of insurance processing and understanding of medical coding
Records daily and weekly patient billing
Assists in preparing and collecting physician charges for in-patient hospital and clinic patients
Collects co-pays for clinic patients and applies payments to accounts
Prepares information for patient billing and commercial, governmental and private payments
Coordinates the release of medical information to all requestors including: patient, medical offices, insurance companies and attorneys in accordance with hospital policy and Federal and State law(s)
Prepares and mails legible medical record copies to the requestor and submits charges for the billing when indicated
Obtains and maintains patientsâ insurance information for medical record billing purposes
Attends and participates in staff meetings and attends hospital meetings
Part! icipates in the training of new employees if needed
Performs other duties as assigned
Qualifications/Requirements
Excellent interpersonal skills demonstrated in interactions with patients, providers and co-workers
Must possess good bookkeeping skills and have excellent attention to detail
Must possess understanding of physician billing and ability to learn medical coding for billing purposes
Excellent written and oral communication skills
Proficient in Microsoft Office and Excel is required
Minimum of high school education or GED is required
Experience in a hospital or clinic practice is preferred
Medical background or experience a plus
Must be able to read, write and speak English
