Reports to:
Senior Manager of Purchasing

Scope of Responsibilities:
Primarily responsible to ensure the completion of complex procurement functions involving the exercise of a greater degree of independent judgment and analysis in support of acquisitions made by the Administrative Departments as assigned by the Senior Manager â€" Purchasing within the Firm, as well as purchases for clients as requested by lawyers.

Essential Job Functions:
Compiles data from a wide variety of sources for the purpose of analyzing issues, ensuring compliance with various policies and procedures, and/or monitoring program components. Research and analyze new products, market conditions, and trends which may affect pricing and availability of products and services.

Initiates or supports sourcing processes of moderate to high dollar! value, risk, creativity, and complex Firm acquisitions by obt! aining competitive costs from suppliers through the development, release, and receipt of Requests for Quotations, Request for Proposals, or Request for Information (RFx). Responsible for developing appropriate product/service specifications with the help of a business area to accurately explain business needs to suppliers.

Completes assessments of supplier capabilities, and creates complex analyses on comparative costs, features, and terms submitted by suppliers in the RFx process to develop and present recommendations to the Senior Manager â€" Purchasing and/or business area management, for source selection.

Generates and releases Purchase Orders (PO’s) from requisitions as assigned by management to ensure that the process is in accordance with Firm’s Procurement policies and procedures.

Negotiates costs, delivery schedules, and contract terms, including at times working with staff attorneys in order to establish pricing and performance stand! ards through contracts with suppliers.

Participates in meetings, workshops, and seminars for the purpose of conveying and/or gathering information required to perform functions.

Monitors and updates item, commodity, and other tables as assigned in current PO software application.

Monitors delivery status and expediting shipments as required, including completing related telephone and written correspondence. Audits products/services received for accuracy in packing slip documentation for matching of PO data to supplier invoices.

Uses current departmental tools to provide administration of all acquisition contracts within the various phases of contract management including updating appropriate sources of information, creating/filing of documents, generating quarterly reports as assigned by management.

Performs other duties or projects as requested.

Minimum Qualifications:
College graduate in business or accounti! ng related field with major course work in purchasing and/or inventory ! control management.

Pleasant personality, team-oriented, good speaking voice, neat appearance, and ability to function under pressure are required.

Command of the English language, ability to master technical vocabulary, display good judgment, and self-confidence is a must.

Must possess an in-depth understanding of office procurement requirements with extensive knowledge of technology (hardware/software).

Effective human relations skills required to deal with suppliers, clients, staff, and attorneys.

Knowledge of general office procedures and ability to analyze, organize, and prioritize complex detailed problems and make independent decisions (required).
