OFFICE: St. Louis

POSITION SUMMARY: Our client currently has a non-exempt position available in there St. Louis office for an Intellectual Property (IP) Legal Secretary with a minimum of 2 years previous IP experience. Qualified candidates should also have previous patent and trademark infringement experience. Under supervision of the Secretarial Services Manager and according to established policies and procedures, performs a variety of secretarial duties for attorneys to whom assigned. Maintains positive contact with clients, attorneys, legal assistants and support staff and observes confidentiality of client matters.

ESSENTIAL DUTIES AND RESPONSIBILITIES: "Essential" are primary job duties that an individual must be able to perform unassisted or with some reasonable accommodation made by the employer.

1. Operates a computer, typewriter; and transcribes digital dictation.
2. Types and/or draf! ts correspondence, memoranda and other legal documents.
3.! Screens telephone calls and records messages.
4. Reads, sorts and dates incoming mail and faxes. Ensures that outgoing mail and faxes are delivered in a timely manner. If necessary, routes mail to specific delivery service and follows up on timely delivery.
5. Establishes and maintains calendar and deadline reminder systems; utilizes master calendar system.
6. Opens new files, requests conflict of interest checks with appropriate department and maintains all client and general files. Conducts periodic review for possible storage of older files; prepares files to be closed.
7. Receives clients and visitors; maintains good public relations with clients; observes confidentiality of attorney-client relationship.
8. Schedules appointments for timekeepers.
9. Processes bills; proofs billing statements; reviews and edits bills.
10. Works closely with administrative support staff (word processing, receptionists, business office, etc.); proofs documents ! returned from word processing; insures that attorney timesheets are entered and released on a timely manner.
11. Performs overload typing, filing, photocopying or other secretarial duties as time permits and as requested by the floor team lead or other attorneys. Also assist other secretaries with their workload as needed.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
1. Ability to transcribe legal documents, correspondence and reports from rough draft, dictation or transcription at a level of 70 wpm.
2. Ability to organize and prioritize numerous tasks and complete them under time constraints.
3. Ability to proofread typed material for grammatical, typographical or spelling errors.
4. Interpersonal skills necessary in order to communicate by phone and provide information with ordinary courtesy and tact.
5. Must have ability to proof and perform minor editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and! legal case matters. Perform non-complex arithmetic calculations when v! erifying calculations on forms and documents; maintain records and filing systems at a level normally acquired through completion of high school or equivalent.
6. Work occasionally requires a high level of mental effort and strain while producing a high volume of information and performing other essential duties.
7. Work occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular hours.
8. Must possess a high level of professionalism and interpersonal skills so as to be able to work well with employees at all levels within the organization and maintain all information in the strictest of confidence. Required to use tact and diplomacy when dealing with others.
9. Must have ability to read, write and communicate fluent English; ability to compose documents in the appropriate business style using correct grammar and spelling; ability to communicate clearly using proper grammar and diction over the tel! ephone.
10. Must possess attention to detail, ability to balance multiple projects and have strong time management skills.
11. Must have ability to reason and apply common-sense understanding to situations encountered.
12. Ability to process routine daily functions while being able to resolve sensitive issues and complex assignments utilizing above average critical thinking skills.
13. The physical demands described herein are representative of those that must be met by an employee in order for him or her to successfully perform the essential functions of this position. While performing the duties of this position, the employee is regularly required to:

  • remain in both a stationary position or be mobile depending on the work day;
  • be able to move about inside the office to access various items;
  • must be able to elevate and transport items up to 25 pounds; constantly operate office machinery including but not limited to computers, ! computer mouse, hand held devices, and copy machines.
EDU! CATION AND EXPERIENCE QUALIFICATIONS:
1. Minimum high school diploma or equivalent required. An Associate degree in secretarial studies preferred.
2. At least 2 years of legal experience required, 3-5 years preferred.
