Brentwood Forest Condominium AssociationJob Description Director of Administration and Finance Summary The Director of Administration and Finance meets or exceeds goals established by the Board of Managers for operational, financial, and community relations functions. This is a salaried (exempt) position. Supervision The Board of Managers is responsible for the management of Brentwood Forest Condominium Association. In accordance with the By-Laws, the Board hires professional staff members to aid in this responsibility. The Director of Administration and Finance, and the Director of Operations, are on the same professional level, maintaining their own duties and collaborating on issues relating to finance and human resources. Both Directors report to the Board and supervise staff members in hourly (non-exempt) positions.Qualifications ⢠Management experience and organizational skill⢠Certification by Community Association Institute or willingness to pursue same⢠Proficiency in oral and written communication⢠Financial expertise⢠Computer expertise, including software applications⢠Ability to work independently, effect collaboration, and promote teamwork Direct Service to Board of Managers ⢠Provides resources for and attends all Board and Board committee meetings⢠Provides reports to Board, produces minutes, maintains official records of proceedings⢠Sets meetings calendar and maintains Board contact list⢠Maintains working relationships with Board members⢠Assists Board members as requested Direct Service to Community ⢠Maintains a welcoming, service-oriented office atmosphere⢠Provides timely and thorough response to residents and owners ⢠Provides timely and thorough response to banks, mortgage lenders and title companies⢠Oversees use of clubhouse, swimming pools, and tennis courts;⢠Plans and administers community events Communications ⢠Reviews, upgrades, establishes, and maintains clear written policies, procedures, and reporting forms relating to all business functions⢠Maintains timely, thorough responses to resident concerns and community issues ⢠Establishes, maintains, and supervises standards for in-person, telephone and electronic communications⢠Writes clear and concise business letters and reports⢠Collaborates with the Director of Operations on written policies and reporting forms relating to work by the Maintenance Technicians ⢠Provides articles and final-edits the monthly newsletter, ForestLine⢠Develops, upgrades, and maintains website and all electronic communications options⢠Produces marketing materials; maintains community bulletin board; pursues branding options for Brentwood Forest as a premier condominium community⢠Serves as community spokesperson for routine matters; consults with Board President on extraordinary issues and requests⢠Serves as Brentwood Forest liaison with the larger community Finances ⢠Collaborates with Director of Operations on all financial services⢠Establishes initial annual operating and reserve budget figures for Board adoption⢠Maintains ongoing review of expenses and investments; provides reports and recommends actions for Board consideration⢠Manages financial reports, accounts payable, accounts receivable, and payroll⢠Works with accountants and auditors to maintain the Associations financial health; arranges annual financial audit and tri-annual reserves audit. ⢠Seeks bids for contracted services and makes recommendations for Board approval⢠Works with attorneys on collections; maintains list of delinquencies⢠Works with insurance brokers and company representatives on claims of all kinds Human Resources and Operations ⢠Oversees and evaluates the work of hourly (non-exempt) staff members; trains and provides continuing education opportunities; administers employee benefits programs; maintains, evaluates and upgrades Employee Handbook⢠Leads by example in ethical standards, service orientation, business conduct, collaborative management, and teamwork among all staff members⢠Establishes and follows an Annual Work Plan, including measurable goals and objectives; establishes and maintains an Annual Master Calendar⢠Sets high standards for all work functions; maintains and upgrades all equipment necessary for excellent work ⢠Performs any and all other duties as assigned by the Board of Managers 2012
